This Privacy Policy relates to all the information collected by Valorem Partners either through the www.valorempartners.co.uk website or through other communication means as part of providing Search and Recruitment services. By visiting www.valorempartners.co.uk you are accepting and consenting to the practices described in this policy. 

This policy sets out the basis on which any personal data Valorem Partners collect from you, or that you provide to us, will be processed by us.

Valorem Partners provide a professional search and recruitment service to organisations in the Specialist Finance industry who have hiring requirements for senior, mid- management, business critical and hard-to find high level candidates.  Usually, retained prior to any recruitment activity taking place, our search consultants, through their industry sector expertise, can offer guidance on identifying, attracting and appointing the best candidates to meet their clients’ needs. The consultant will then project manage the recruitment process from start to finish on behalf of their client.

WHERE DOES VALOREM PARTNERS COLLECT DATA FROM AND WHAT DATA DOES VALOREM PARTNERS COLLECT?

Valorem Partners collects personal data from individuals and other sources as shown below, in order to provide search and recruitment services. Through the delivery of our services this will include data that we collect for our clients.

SEARCH & RECRUITMENT SERVICES

In order to deliver our search and recruitment services, we collect data as a result of:

  • Candidates responding to an advertised role which has been posted by us on a job board or via social media.
  • Valorem Partners matching your CV, as uploaded by you onto a job board or a social media site, to a vacancy we are seeking to fill for one of our clients.
  • A referral or recommendation.
  • Your business card.
  • Researching information from company websites
  • Valorem Partners use a third-party provider, Franklin-Hackett, to share data to complete The GC Index® profiling assessment, which forms an essential part of Valorem Partners client and candidate engagement process. Valorem Partners aim to collect the minimum data required to perform our responsibilities that we commit to undertake on behalf of both Clients and Candidates. This includes:

  •   your name
  •   contact details (phone number, email address, postal address
  •   job title and company name

If you are being considered for a role, it may then include your skills and experience, company history and information that you have supplied on your CV/resume.

Other information we may collect:

  • gender, marital status, qualifications, driver license number, skills, social media links, language and interests. It may also include other information such as remuneration package, details of referees, right to work in the UK.

CLIENTS AND ENQUIRIES

You may give us information about you when filling in forms on our site (www.valorempartners.co.uk) or by corresponding with us by phone, email. This includes information you provide:

  •   when you register to receive our regular newsletters,
  •   downloading information resource documents from our site,
  •   submitting an enquiry via an online enquiry form or
  •   engage in Valorem Partners services as a client.

VISITORS TO OUR WEBSITES

When someone visits www.valorempartners.co.uk we use third party services, Google Analytics to collect standard internet log information and details of visitor behaviour patterns. We do this for analysis purposes, such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone personally only the company. 

PEOPLE WHO MAKE A COMPLAINT TO US

When we receive a complaint, we make up a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint.

We will only use the personal information we collect to process the complaint and to check on the level of service we provide. We usually have to disclose the complainant’s identity to whoever the complaint is about. This is inevitable where, for example, the accuracy of a person’s record is in dispute, if a complainant doesn’t want information identifying him or her to be disclosed, we will try to respect that. However, it may not be possible to handle a complaint on an anonymous basis. We will keep personal information contained in complaint files in line with our retention policy.

This means that information relating to a complaint will be retained for two years from closure. It will be retained in a secure environment and access to it will be restricted according to the ‘need to know’ principle. Similarly, where enquiries are submitted to us, we will only use the information supplied to us to deal with the enquiry and any subsequent issues and to check on the level of service we provide.

VALOREM PARTNERS CANDIDATES AND VALOREM PARTNERS EMPLOYEES

When individuals apply to work at Valorem Partners, we will only use the information they supply to us to process their application and to monitor recruitment statistics. Where we want to disclose information to a third party, for example where we want to take up a reference or obtain a ‘disclosure’ from the Criminal Records Bureau we will not do so without informing them beforehand unless the disclosure is required by law.

Once a person has taken up employment with Valorem Partners, we will compile a file relating to their employment. The information contained in this will be kept secure and will only be used for purposes directly relevant to that person’s employment. Once their employment with Valorem Partners has ended, we will retain the file in accordance with the requirements of our retention schedule and then delete it. 

WHAT WE DO WITH YOUR PERSONAL INFORMATION?

All relevant information collected or provided to us, is entered into our CRM system and database. Only Valorem Partners employees have access to all or part of this data, which is used for the purposes of providing recruitment and search services.

An individual’s personal data will only be disclosed to specific and named client companies with an individual’s prior agreement. An individual’s data will not be disclosed to any other third party unless Valorem Partners is required to do so by law.

All the personal data we process is processed by our staff in the UK. We follow strict security procedures in the storage and disclosure of information which you have given us, to prevent unauthorised access in accordance with the UK data protection legislation. Where we sometimes work with our team of Associates to deliver assignments and projects, this may mean that we provide your data to them as part of this. All transfers and use of personal of data in this way is in strict accordance with the UK data protection legislation.

We do not sell, rent or exchange your personal information with any third party, except to help prevent fraud, or if required to do so by law. 

We reserve the right to record briefing calls / meetings in order to ensure all information is gathered for the purposes of delivering the assignment. We retain recordings for 12 months from the completion/cancellation of the assignment.

WHAT IS OUR LAWFUL BASIS FOR PROCESSING YOUR DATA?

As a search and recruitment business, Valorem Partners consider that it is necessary to use legitimate interest as our lawful basis to process your personal data.  At different stages of the processes we also have other lawful grounds for processing your data such as compliance with our legal obligations and where it is necessary for the performance of contracts related to the recruitment process such as employment contracts.

Please note that we will always obtain verbal or written consent before presenting your personal details to a client.

WHERE WE STORE YOUR PERSONAL DATA?

The data that we collect from you will generally be kept within the European Economic Area (EEA).  Valorem Partners will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to 

INTERNATIONAL TRANSFERS

We provide Search and Recruitment services within the UK; therefore, we will not transfer personal data outside of the EEA.

YOUR RIGHTS AS AN INDIVIDUAL

In accordance with applicable national data privacy legislation, an individual may have the right to contact Valorem Partners to establish whether we hold personal data on him or her. 

Any individual with a record in our database has the right to request a copy of any of his or her personal information. We may need to ask the individual to provide appropriate confirmation of identity before processing a request.

Any individual with a record in our database has the right to request that we rectify any inaccuracies in his or her personal data or that his or her record be removed from our database or other systems.

In addition, they have the right to opt out of receiving any further communication and information from us. If, for good reason, we are unable to comply with such a request we will let the individual know.
